Transactions

Overview

This document lists what the Transactions category of the In-Kind Pro Support Knowledge Base is missing and proposes the content to add. The category currently has three articles (In-App Transactions, External Transactions and E-Signature Process). All three explain how to create or sign a transaction, have no screenshots, and none of them covers the Transactions list or its filters.

The main addition is a new article, Transactions List and Filters, which documents the new scope option of the Case Worker filter. The same filter is available in the Transactions report (Reports category), which will be documented separately.

Step 1 is out of date: the + button now opens the New transaction screen directly, with In App selected. Adds a screenshot.

External Transactions

Update

Step 1 is clarified (the External option is on the same New transaction screen). Adds a screenshot.

Filter by case worker

The Case Worker filter lists the case workers of your agency. When you select case workers, a Transactions option at the top of the list decides which of their transactions are shown. One option is always selected.

Option

Shows

Created by the case worker (default)

Transactions that the selected case worker created, whoever the donor is.

From their assigned donors

Transactions that include at least one child assigned to the selected case worker for that donor, whoever created the transaction (for example an agency admin).

Steps

  1. Open the filter panel and select the Case Worker field.

  2. Under Transactions, choose Created by the case worker or From their assigned donors.

  3. Select one or more case workers, or use Select all. Use the search box to find a case worker by name.

  4. Close the list and select Apply Filter.

Example

In the agency below, the same case worker is selected with each option:

  • Created by the case worker returns 2 records. The User column shows the case worker on every row.

  • From their assigned donors returns 4 records. The two extra rows were created by the Agency Admin for a donor whose child is assigned to this case worker.

NOTES

The Case Worker filter is shown to system administrators and to users with the View center case workers permission or any user management permission (View, Create or Edit users).

If you select several case workers, a transaction is shown when it matches any of them.

A child can have more than one case worker. With From their assigned donors, the transaction is shown for every case worker assigned to that child for the donor.

Transactions with no child assigned to a case worker (for example community donors, who have no case worker) never appear with From their assigned donors.

The Created by case worker checkbox is a different filter: it does not look at specific case workers, it shows transactions created by any user who is a case worker.

The Transactions report (Reports > Transactions) has the same Case Worker filter and the same two options, so both screens return the same transactions.
