Information We Collect About Children
In-Kind Pro is a compliance and contribution-tracking platform used by Head Start and other grant-funded early childhood programs. In the course of providing these services, In-Kind Pro may collect limited identifiable information about enrolled children on behalf of the programs we serve. This information is entered by authorized program staff and is used solely to support the program’s non-federal share documentation and reporting obligations.
The child-related data we may collect includes:
Name — used to associate a contribution record with a specific enrolled child
Age or date of birth — used to confirm enrollment eligibility and support program-level reporting
Program or enrollment information — such as the Head Start center, classroom, or enrollment period the child is associated with
How We Use This Information
Child data is collected and used exclusively for the following purposes:
Linking in-kind contribution records to enrolled children as required for federal compliance documentation
Generating program-level reports for grantee administrators
Supporting audit readiness under 45 CFR §75.306 and applicable Head Start Program Performance Standards
We do not use child data for marketing, advertising, profiling, or any purpose unrelated to program compliance.
How We Protect This Information
Child data is stored securely and accessible only to authorized program staff within the subscribing organization. In-Kind Pro does not sell, rent, share, or disclose child data to third parties except as required by law or as necessary to deliver contracted services under appropriate data protection agreements.
Legal Basis and Program Responsibility
In-Kind Pro operates as a data processor on behalf of the Head Start programs that use our platform. The program (grantee) is the data controller responsible for obtaining any required parental consents and for ensuring that the collection and use of child information complies with applicable federal and state laws, including the Family Educational Rights and Privacy Act (FERPA) and the Children’s Online Privacy Protection Act (COPPA).
If you are a parent or guardian and have questions about how your child’s information has been entered into In-Kind Pro by a program, please contact that program directly. If you believe your child’s data was entered in error, contact us at info@inkindpro.com and we will work with the program to review and, if appropriate, remove the information.
